Understanding the Five-Round Editing Process with selfpublishing.com

A deep dive into each stage of the editing workflow, from Developmental Review to Final Proofreading, including resources to help authors prepare for what happens next.

Key Sections included:

  • Round 1: Developmental Review: Focusing on the big-picture structure and flow.

  • Round 2: Content Editing: Refining the narrative and factual accuracy.

  • Round 3: Line Editing: Enhancing style, tone, and sentence structure.

  • Round 4: Copyediting: The technical polish for grammar and consistency.

  • Round 5: Proofreading: The final "fresh eyes" look before publication.

You’ve already done the hardest part: you wrote the manuscript. Now, our job is to help you shape it into something clear, compelling, and professionally polished, without losing the voice that makes it yours.

This is a collaborative process. You won’t be handing your book off into a void—you’ll be part of every step, with full visibility into how your manuscript evolves.

Let’s walk through what that looks like.

How We Work Together

We’ll be working inside a shared Google Doc throughout the editing process. This allows you to:

  • See edits and suggestions in real time
  • Review past versions of your manuscript
  • Stay fully involved from start to finish

Before we begin, please make sure your document settings are updated to “anyone with the link can edit.”

Open your Google Doc, click the blue “Share” button in the top right, then under “General access,” change the dropdown to “Anyone with the link.” Set the permission to “Editor,” then click “Done” so anyone with the link can edit the document.

This ensures our team can jump in without delays.

You’ll also be paired with editors who specialize in the specific type of support your manuscript needs at each stage—so you’re always getting the right eyes on your work.

Our Five-Round Editing Process

Editing isn’t a single pass. It’s a layered process. Each round builds on the last, moving from big-picture structure to fine-detail polish.

Here’s how it works:

Round 1: Developmental Review

Your book’s blueprint

This is where we step back and look at the big picture. In simple terms: We make sure your whole story is a great idea before we worry about fixing the tiny things like spelling.

We evaluate your manuscript’s structure, chapter flow, pacing, audience alignment, and overall clarity. The goal is to make sure your book is built on a strong foundation before we refine the details.

Instead of commenting directly in your manuscript, you’ll receive a comprehensive editorial report. This document outlines what’s working, what needs adjustment, and how to strengthen your book moving forward.

At this stage, we do not edit grammar, spelling, or individual sentences. We also don’t provide scene-by-scene rewrites. This round is about direction, not detail.

We also use this phase to match your manuscript with the best-fit editors for the next stages.

Round 2: Content Editing

Clarity, cohesion, and flow

Now we move into the manuscript itself by checking to make sure your ideas are clearly explained and your story is easy to read.

This round focuses on how your ideas are communicated at the paragraph and section level. We look at transitions, pacing, clarity, and whether each section is doing its job effectively.

You’ll receive:

  • In-manuscript comments
  • A detailed editorial report

We’ll flag areas that feel unclear, repetitive, or underdeveloped—and give you specific guidance on what to revise and why.

By the end of this stage, your book’s structure and content should feel complete, cohesive, and ready for refinement at the sentence level.

Round 3: Line Editing

Elevating your writing, line by line

With the structure locked in, we turn our attention to the craft of your writing. We do this by looking at every single sentence to pick the best words and make sure your writing sounds smooth and easy to read.

This is where your manuscript begins to feel smooth, polished, and professional.

Using Tracked Changes, we edit directly within your document to:

  • Improve sentence flow and readability
  • Strengthen tone and word choice
  • Eliminate repetition and filler
  • Tighten pacing and clarity

This stage is about precision—making sure every sentence works as hard as it should.

Round 4: Copyediting

Technical polish and consistency

At this point, your manuscript is structurally sound and stylistically refined. Now we focus on correctness and consistency by fixing all the little mistakes to ensure your book is perfect.

We review:

  • Grammar and syntax
  • Sentence structure
  • Capitalization, numbers, and formatting consistency

Edits are made directly in the document (without Tracked Changes) to avoid introducing new errors.

Because of this, there is no review step after copyediting. Your manuscript should be considered final once this stage is complete.

Round 5: Proofreading

Final quality check before publication

This is the last pass before your book moves forward to formatting or publication. This is where we check your book for tiny errors like typos to make sure it’s ready for people to read.

We perform a detailed sweep to catch any remaining minor issues, including:

  • Typos and spelling errors
  • Punctuation inconsistencies
  • Formatting issues (spacing, headers, numbering)

Like copyediting, changes are made directly in the document to preserve the integrity of the final file.

When this round is complete, your manuscript is clean, professional, and ready for the next step.
